How to reply to a bad review without making it worse

A reply to a negative review is not written for the person who left it. It is written for the next customer reading it, who is deciding whether this is a business that pays attention. That single shift, from defending yourself to informing a stranger, changes what the reply should say.

Why asking only your happy customers for reviews backfires

Filtering review requests so only satisfied customers get asked is called review gating. Google prohibits it explicitly, and the other major review platforms carry their own version of the same rule. It is also, separately from the rules, a bad trade: it buys a rating that customers have learned to distrust.

The opening hours on your listing are probably wrong

Business details drift. Hours change for a holiday and never change back, a phone number is updated in one place, an address keeps a suite number that moved two years ago. Nobody decides to let a listing go stale. It happens because the details live in several systems and only one of them is the one you look at.
